System Requirements
Tenant Wetu is a cloud-based platform designed for accessibility. To use the system effectively, you need:
- A modern web browser (Chrome, Safari, Edge, or Firefox).
- A stable internet connection.
- An active **M-Pesa Paybill** for full automated reconciliation (Buy Goods Tills do not support C2B callbacks).
Initial Setup Guide
Once your account is created, follow these steps to go live:
- Complete Profile: Fill in your company name, logo, and contact details for branded receipts.
- Configure SMS: Set up your system-wide SMS alerts and optional branded Sender ID.
- Bank Setup: Link your bank details for tenants who prefer manual transfers.
Adding Your First Property
Structure your portfolio by adding your buildings first:
Navigate to Properties > Add New. Enter the building name and location. You can then add units individually or use our bulk upload feature to set up entire apartment blocks in seconds.
M-Pesa Configuration
To trigger STK Push and receive callbacks, you need to enter your Daraja API credentials. Note that while STK Push works for both, automated reconciliation via callbacks is exclusive to Paybills:
- Shortcode: Your Paybill number.
- Consumer Key & Secret: From your Safaricom Developer portal.
- Passkey: For STK Push authentication.
Setting Up Paybills
For full automation, ensure your "Confirmation URL" is pointed to our secure dispatcher. This feature is specific to **M-Pesa Paybills**, allowing the system to match the 'Account Number' entered by the tenant to their specific unit automatically in real-time.
Auto-matching Logic
Our smart matching engine uses two layers of verification:
- Primary: Matches the M-Pesa 'Account' field with the Tenant's unique system ID.
- Secondary: If the account is missing, it attempts to match the payment using the sender's Phone Number.
Tenant Onboarding
When a new tenant moves in, navigate to the specific unit and click Add Tenant. Once saved, click Send Invite to trigger the automated SMS containing their permanent Token Link.
Utility Billing Setup
Manage water and electricity seamlessly:
- Define your rates (e.g., KES 150 per unit of water).
- Enter current meter readings at the end of the month.
- The system automatically adds the calculated total to the next rent invoice.
Generating Reports
Gain instant insight into your business performance via the Financials module:
- Rent Collection: See exactly who has paid this month.
- Arrears: A live list of all outstanding balances across all properties.
- P&L: Track income vs. maintenance expenses to see your true profit.
